Business process automation · Hudson Valley, NYImprove one
repetitive workflow.

Lightload Labs builds workflow automation for small businesses across the Hudson Valley. It is for people and teams spending too much time copying information, rebuilding reports, or chasing the next handoff. Start with one task worth improving.

Concept rendering of an example automation workflow titled Automation: three inputs combine, pass through review, and either become a summary or loop back for more details

ILLUSTRATIVE STARTING POINTS

Less repetition.
A clearer way through.

Choose one workflow, agree the inputs and outputs, and keep exceptions visible for a person to review. The examples are illustrative, not client stories.

Information entered twice.

Explore a validated handoff between supported tools so the same details do not need to be copied again.

For example, a landscaping company that retypes each web inquiry into Jobber could have new requests created automatically, with incomplete ones held for review.

The same report, rebuilt again.

Explore collecting agreed inputs and preparing a consistent draft for someone to check.

For example, an office manager who assembles a weekly sales summary from QuickBooks Online and a spreadsheet could receive a prepared draft each Monday to check and send.

Work waiting on a handoff.

Explore clearer status, agreed routing, and reminders that make the next action visible.

For example, a property manager could have each approved maintenance request sent to the right vendor in Microsoft Teams, with a reminder when nobody has picked it up.

Files and approvals scattered across inboxes.

Explore one place for documents to land, with names, folders, and approvals handled the same way every time.

For example, a contractor could have signed estimates saved to the right SharePoint job folder and logged in a tracking list as soon as they arrive.

These are possible approaches. Your systems and requirements determine the scope; further workflows and ongoing support are agreed separately.

A FIRST VERSION

What a first version
usually looks like.

Most first automations take a few days to a few weeks, depending on the tools involved and how much testing they need. The proposal gives the exact scope, price, and schedule.

HOW WE WORK

Four steps,
reviewed together.

The same steps as our approach, applied to business process automation.

Discover

You describe the task step by step in The Lab, with screenshots or a short screen recording; we count the steps and agree how we will judge an improvement: time, retyping, or corrections.

Design

We choose the simplest tool that fits, often one you already license, and decide which steps stay with a person.

Build

We build and test against real examples, including the awkward ones, before switching anything on.

Improve

We compare the result with the starting point, hand over the notes, and suggest the next workflow worth a look.

TECHNOLOGY

Tools we
work with.

We pick tools for the job and start with what you already use where that makes sense.

BEFORE WE BUILD

A practical
first conversation.

What will it cost, and how long will it take?

Most first automations take a few days to a few weeks. We discuss the workflow, access requirements, budget, and testing before proposing a scope. Deliverables, pricing, and timing are agreed in writing. Your inquiry does not commit you to a project.

Can we keep the tools we already use?

We begin with the tools you have. Connections depend on supported interfaces, licensing, permissions, and your information-handling requirements. We assess those before proposing an integration.

How do we know whether it helped?

Before building, we agree on a useful comparison: hands-on time, repeated entry, corrections, or steps in a handoff. We test the solution against agreed examples and the starting workflow.

What happens when something unusual comes through?

The automation should stop and ask rather than guess. We agree which cases go to a person, how they are flagged, and who is told, before anything goes live.
